The zone holds the three steps a document passes through: intelligent document processing reads it into fields, enterprise content management keeps it for as long as the rules require, and electronic signature gets it signed.

Document management is the software that deals with the documents a company receives and creates: reading them into its systems, keeping them for as long as the rules require, and getting them signed. Much of what a company knows arrives not as a record in a system, but as a document. An invoice arrives as a PDF, an insurance claim as a scanned page, and a contract as forty pages that few people read again.

Consider a construction company in Thiruvananthapuram that is building an apartment block. Every week, its suppliers send dozens of invoices for cement, steel and tiles. Its engineers keep hundreds of drawings, and each drawing is revised several times. And it must sign a contract with a subcontractor for the electrical work. Each of these jobs needs a different product.

The first step is reading. Intelligent document processing (IDP) turns a scanned page or a PDF into fields that a system can use, such as the supplier, the date and the amount. It grew out of an older technology called optical character recognition (OCR), which turns the image of printed letters into text. Today, AI models read the page much as a person would, without a fixed template for each supplier's layout.

The second step is keeping. Enterprise content management (ECM) stores the millions of documents a company builds up. It keeps every version of each drawing, controls who may open each file, and deletes each document when the period for keeping it ends. Indian tax laws require a business to keep its accounts and invoices for several years. At the same time, India's Digital Personal Data Protection (DPDP) Act will require it, from 13 May 2027, not to keep personal data for longer than it needs.

The third step is signing. An electronic signature lets the subcontractor sign the contract on a phone, instead of waiting for a courier. For a stronger signature, tied to a verified person, the signer uses a digital signature certificate (DSC). A DSC rests on public key infrastructure (PKI), a system of certificates that ties a signing key to a person whose identity has been checked. That check is much like the one a bank makes before it opens an account, called KYC. Before signing, documents are often created, filled in and marked up in a PDF editor.

The three steps often follow one another. An invoice read by IDP is passed to the ERP for payment, and its original is kept in the content store. A signed contract is filed in the same store, where the legal team can find it years later.
