An AI medical receptionist is a voice agent that answers a clinic's phone calls in natural speech, books or moves appointments in the clinic's systems, and passes to a person only the calls that need one. It is also called an AI front desk agent or a medical voice agent. Most of its buyers are clinics in the United States. Most of its makers are small companies building in Bengaluru and Hyderabad.
Why do clinics buy it? An American clinic may get hundreds of calls a day. Most are routine: booking, moving or cancelling an appointment, asking for a repeat prescription, or asking for the address. When the front desk is busy, calls go unanswered. A patient whose call is not answered often books with another clinic instead. So every unanswered call can mean a lost patient.
Each call runs through three steps, repeated for every sentence. Speech recognition turns the caller's words into text. A language model reads the text and decides what to do and what to say next. It can look up the clinic's calendar and the patient's record. Then text-to-speech software reads the reply aloud. These models are described in speech and voice AI, and the general technology is the same as in other voice bots.
Say a man in North Carolina calls a family clinic at 7:40 a.m., before it opens. He needs to move his Tuesday appointment because of work. The agent asks for his name and date of birth, and finds him in the clinic's ambulatory EHR. It offers him Wednesday at 4:15 p.m. or Thursday at 9 a.m. He chooses Thursday. The agent moves the booking in the clinic's scheduling software and sends him a text to confirm it. It writes a two-line summary of the call into his record. The call takes about two minutes, and no employee is involved.
Some calls need more than the calendar. Some treatments, such as an MRI scan, need the insurer's approval before they can be booked. This approval is called prior authorisation. Some agents start that request themselves.
The agent must know its limits. If a caller describes chest pain or trouble breathing, the agent must not book an ordinary appointment. It must tell the caller to call emergency services, or pass the call to a nurse at once. Deciding how urgently a caller must be seen is done by AI nurse triage. The same agent can also make calls, for example to remind patients about an overdue check-up, as described in patient outreach automation.
The agent is one kind of AI customer service agent: it does not only answer questions, it also changes bookings and records in the clinic's systems.
