An AI CRM is a customer relationship management (CRM) system in which AI agents fill in the records and do part of the sales work themselves. It is also called an agentic CRM. An AI agent, here, is software that uses a language model to take actions on its own, such as writing an email or updating a deal. The agent records every call and email automatically, and it also acts on what the record holds.
The oldest complaint about the CRM is that salespeople do not update it. Typing in every call and email takes time, and salespeople would rather be selling. So the record is often incomplete, and the forecasts built on it are weak. An AI CRM removes most of the typing. It also goes one step further. Because the agent can read the whole record, it can decide what to do next and do it, with a person approving where the company wants that.
Here is how it works in general. The CRM connects to the salesperson's email, calendar and phone. After each call, the agent reads the transcript, the written text of the call. It writes a summary into the deal. It updates fields such as the budget and the expected closing date, and it moves the deal to the next stage if the buyer agreed to a next step. It then drafts the follow-up email and creates the tasks. Separately, prospecting agents find new possible customers and write to them, which is the job of an AI SDR. Other agents watch the pipeline and remind the salesperson about deals where the buyer has stopped replying.
Consider a salesperson at a Mangaluru company that sells refrigerated containers to seafood exporters. At 3 p.m., she has a 25-minute call with an exporter's managing director. She types nothing during the call. By 3:30 p.m., the agent has added a summary to the deal. The exporter needs 8 containers before the fishing season starts in August, has a budget of about ₹1.2 crore, and wants a quote by Friday. The agent changes the expected closing date to 31 July, and the stage to "quote requested". It drafts a follow-up email that confirms the three points, and creates a task to prepare the quote. She reads the email, changes one line and sends it. Before this, she spent 15 minutes after each call typing notes, and on busy days she skipped them.
Large CRM companies and Indian start-ups now both sell this idea. The risks are those of any agentic automation. An agent can misunderstand a call, record a wrong figure or send an email that the salesperson would not have sent. A language model can also state a wrong fact with confidence, which is called hallucination. So most companies keep a person approving emails and large changes.
