The yard management system receives truck arrival times from the TMS, sends an early detergent truck to a parking spot and an urgent outgoing truck to door 4 at a Farrukhnagar distribution centre, and reports yard times to visibility software.

A yard management system (YMS) is software that schedules the trucks waiting outside a distribution centre, and decides which dock door each one loads or unloads at. A distribution centre is a large warehouse from which goods are sent on to shops or customers. The yard is the area outside the building where trucks park and wait. A dock door is an opening in the warehouse wall, at the height of a truck's floor, where goods are loaded or unloaded.

Without a YMS, trucks arrive whenever they like. At the gate, a security guard writes each truck's number in a register. The driver then waits in a queue, sometimes for many hours, until a supervisor finds a free door. A truck with urgent stock may wait behind a truck whose goods are not needed until next week. Every hour of waiting costs money. The truck misses its next trip, and the transporter may bill the shipper for detention, a charge for waiting beyond the agreed free time.

A YMS replaces this with appointments. Transporters book a time slot for each truck in advance, on a web page. At the gate, the guard scans the driver's booking code on a tablet, or a camera reads the number plate by ANPR (automatic number plate recognition). The YMS records the arrival time. It knows what each truck is carrying, from the notice that the supplier sent before dispatch. It knows which doors are free, from the warehouse management system. So it gives each truck a door, or sends it to a numbered parking spot to wait. It sends the driver a message when the door is ready.

Consider a consumer-goods company's distribution centre at Farrukhnagar, near Gurugram, with 16 dock doors. Between 6 a.m. and noon, 34 trucks are booked: 20 bringing stock in and 14 taking orders out to shops. At 8:10 a.m., a truck of detergent arrives 50 minutes early for its 9 a.m. slot. The YMS sends it to parking spot P12. At 8:25 a.m., a truck for outgoing shop orders arrives on time. The transportation management system has marked its load as urgent, so the YMS gives it door 4, which has just become free. The detergent truck gets door 7 at 9 a.m., as booked. The YMS records how long each truck spent in the yard.

These records have two uses. At the end of the month, the company can see which transporters arrive late and which doors work slowly, and fix the cause. And when a transporter bills for detention, the yard times show exactly how long the truck waited. The YMS also sends each truck's arrival and departure to supply chain visibility software, so that a shop can see when its stock left the building.

In India, a YMS is used mainly at the large distribution centres of retailers, consumer-goods companies and carmakers, where dozens of trucks arrive every day. Smaller warehouses often still use the gate register.
