Procure-to-pay software receives supplier checks, invoices read from PDFs and should-cost prices, runs the chain from purchase request to purchase order, and sends the signed contract to CLM, matched invoices to accounts payable and each order to the ERP.

Procure-to-pay software is a suite that runs a company's buying from start to finish: finding a supplier, running the tender, agreeing the contract, raising the order and paying the invoice. It is also called a source-to-pay suite or an e-procurement suite. The short form of procure-to-pay is P2P.

Strictly, the industry splits the chain in two. Source-to-contract is the first half: finding suppliers, collecting their quotes and signing the contract. Procure-to-pay is the second half: the purchase request, the purchase order, the goods receipt and the payment. A source-to-pay suite runs both halves in one product, on one record of each supplier. The chain is one of the three described on the page on P2P, O2C and R2R processes.

Consider an auto parts maker in Aurangabad that needs 10,000 aluminium castings a month for a new car model. An engineer raises a purchase request in the suite. The purchasing team invites five foundries to quote, through the suite's strategic sourcing module. The chosen foundry quotes ₹410 a casting. The contract is drafted, signed and kept in contract lifecycle management (CLM). Before the foundry is added as a supplier, the suite collects its PAN, GST number and bank details, and third-party risk management checks it. The suite then raises a purchase order for 10,000 castings, worth ₹41 lakh before GST, and sends it to the foundry.

When the castings arrive, the stores team records a goods receipt note (GRN), the record that the goods actually came. The foundry's invoice arrives as a PDF, and intelligent document processing (IDP) reads it. The suite passes the order, the receipt and the invoice to accounts payable (AP) automation, which checks that all three agree before the money is paid. Each step is also recorded in the company's ERP.

Why buy one suite instead of separate tools? Because every step uses the same data. If the contract says ₹410, the order and the invoice are checked against ₹410 automatically. A suite also shows the total spent with each supplier across all factories. Some suites now compare a customer's prices with what other companies pay, using their customers' spending data with the names removed.

Several of the world's main suites are built in Pune, Mumbai and Bengaluru, and some of their makers were founded by Indians. Some vendors also sell the buying work itself: their own staff do the purchasing for the customer. This is called procurement outsourcing. The newest suites let an AI agent collect quotes and negotiate small purchases, for a buyer to approve. The page on agentic commerce explains that idea.
